The middle column is the part worth handing to a chatbot, because the answer is the same for everyone and you can write it down once. The right-hand column is where a wrong answer costs you a customer, so it should reach you quickly and whole.
Write down what it will answer from
A chatbot can only answer from what you give it, which for most small businesses is the website, and a small business website often says very little, with a home page, a list of services and a contact form. Before you add a chatbot, add one page of plain answers. It’s the page your customers wanted in the first place.
- Your prices, or where they start, and what each includes.
- Where you deliver, or which areas you cover.
- Your opening hours, including holidays.
- How to book, order or pay, and your cancellation, deposit or returns policy.
- What you don’t do, so the chatbot can say so rather than leave someone hoping.
Keep that page current. A chatbot repeats last year’s prices as confidently as this year’s, so when a price or your hours change, change the page and make sure the chatbot reads it again. Some chatbots re-read your site on a schedule, and others only when you ask.
What an AI chatbot can’t do for a small business
Many small business questions end in an action, such as a booking, an order or a payment. That’s where chatbots differ most, and it should decide which one you buy.
- Bookings. A chatbot that only answers can tell people how to book, but it can’t put them in your diary. Some connect to a booking tool, and Chatbase, for one, lists Calendly among its integrations.
- Orders and payments. Looking up an order, changing an address or issuing a refund needs a chat connected to your shop. Tidio connects to Shopify, and lists cancelling orders, changing shipping addresses and offering refunds without leaving the chat window. - A customer’s own account. A chatbot answering from your website can’t see anyone’s account, so any answer it gave would be a guess.
- WhatsApp, Instagram and the phone. If most of your customers message you there, a chatbot on your website catches only part of it. Chatbase and ChatBot.com both reach WhatsApp, among other channels.
- Judgement. Complaints, quotes for unusual jobs and anything upsetting need a person.

What an AI chatbot costs a small business
The price on the plan is only one of three costs, and the other two decide whether it pays for itself.
The money. Plans run from nothing on a free plan to a few hundred dollars a month, and the way a vendor counts decides how the bill moves. Some charge for each conversation the AI resolves, so a busy month costs more. Others charge a set price for an allowance. Your time. Expect an afternoon to write the page of answers, a few minutes to put the chatbot on your site, and ten minutes a week reading what people asked. The reading is the easiest part to skip, and it’s where you find out what to put on your website next.
